We are seeking a highly organized and proactive Senior Legal and Compliance Assistant to support our in-house legal department located in Charlotte, NC. This role offers a dynamic and collaborative work environment, flexible hours, and the opportunity to contribute to meaningful legal and compliance initiatives within a publicly traded company.

Key Responsibilities

 Legal Support:

  • Provide proactive support to a small team of in-house attorneys across a broad range of legal matters.
  • Assist in the preparation, coordination, and distribution of legal documents related to acquisitions, divestitures, employment matters, and special projects.
  • Manage attorney travel arrangements and prepare expense reports.
  • Maintain litigation summaries and generate monthly/quarterly reports.
  • Process wire payments and invoices, including coding and obtaining approvals; prepare quarterly accruals for legal expenses.
  • Support budget planning and expense tracking for the Legal and Compliance departments.
  • Track and file continuing legal education (CLE) requirements for attorneys.

Board Meeting Support:

  • Collaborate with attorneys and the corporate paralegal to prepare Board meeting materials, including agendas, presentations, and correspondence.
  • Assemble and distribute hard-copy board books ahead of meetings.
  • Assist in drafting, editing, and finalizing meeting minutes.

Compliance Administration:

  •  Manage and update the company’s Policy Manual and Code of Conduct.
  • Oversee Code of Conduct recertification processes for the corporate office.
  • Administer the company’s ethics hotline, including poster distribution and site maintenance.
  • Serve as system administrator for the EnTegrity compliance platform:
    • Launch and monitor compliance training campaigns.
    • Support administrators with reporting, user management, and training setup.
  • Coordinate annual compliance certifications, including Management Commitment Letters.

Qualifications:

• High School Diploma or GED required; Associate’s or Bachelor’s degree preferred.
• Minimum of 5 years of experience in a legal or compliance support role.
• Exceptional written and verbal communication skills.
• Strong attention to detail with proven ability to draft and proofread professional documents.
• Experience supporting board-level communications and materials.
• Excellent interpersonal skills with a professional demeanor in interactions with internal and external stakeholders.
• Demonstrated problem-solving abilities and initiative.
• Proven project and program management skills.
• Positive attitude and commitment to continuous learning.
• Proficiency in Microsoft Office Suite (Outlook, Word, Excel, Teams), Zoom, Adobe Acrobat, SharePoint, and other web-based tools.
• Familiarity with legal and compliance platforms (e.g., document management systems, e-signature tools) is a plus.
• Ability to prioritize tasks and manage time effectively in a fast-paced, paperless environment.
