Overview 

We are seeking a reliable, detail-oriented Data Entry Administrator to join our Customer Service team. This role supports the full order-to-invoice process, including accurate order entry, generating invoices, issuing credit memos, and maintaining clean data throughout our ERP system.  

Key Responsibilities 

Customer Service & Data Accuracy

 
  • Maintain accurate customer account information and ensure all required documentation is complete.
  • Communicate professionally with internal teams to clarify order details, resolve discrepancies, and support smooth transaction flow
  • Proactively identify data inconsistencies and alert appropriate teams to prevent downstream issues.

Order Entry

  • Enter customer orders into the ERP system with high accuracy (Macola experience a plus)
  • Verify part numbers, quantities, pricing, and customer instructions. 
  • Ensure all required documents (POs, packing lists, customer notes) are attached and recorded properly

Invoicing & Credit Memos

  • Generate invoices accurately and in a timely manner
  • Review shipments to confirm correct billing information before issuing invoices. 
  • Create and process credit memos as needed (pricing corrections, returns, customer disputes, etc.)
  • Maintain clear audit trails for all billing transactions.
  • Assist in investigating and resolving invoices or credit discrepancies. 

Operational Support

  • Maintain organized digital and physical records for orders, shipping documentation, invoices, and credits
  • Review shipments to confirm correct billing information before issuing invoices. 
  • Create and process credit memos as needed (pricing corrections, returns, customer disputes, etc.)
  • Maintain clear audit trails for all billing transactions.

Maintain accurate customer account information and ensure all required documentation is complete.

  • Communicate professionally with internal teams to clarify order details, resolve discrepancies, and support smooth transaction flow
  • Collaborate closely with Operations, Finance/Accounting, and Customer Service to support end-to-end process flow. 
  • Contribute to the improvement and updating of SOPs related to order entry, invoicing, and credit memo processes. 

Qualification:

Required

  • Strong attention to detail and very high accuracy in data entry
  • Comfort with numbers, billing information, and basic financial concepts. 
  • Experience using ERP systems; ability to follow structured processes. 
  • Excellent organizational skills and ability to manage multiple priorities. 
  • Strong written and verbal communication skills. 
  • Customer-first mindset and willingness to resolve issues promptly. 

Preferred

  • Coursework or background in Accounting, Business Administration, Finance, or related fields.
  • Proficiency in Excel (XLOOKUP, SUMIFS, filters, etc.)
  • Familiarity with order processing, invoicing, or customer service workflows
  • Experience issuing credit memos or supporting returns processes.

Pay:  $24-$27

This job equally operates in a production and professional office environment. The environment will include wet or humid conditions (non-weather related), extreme cold and heat (non-weather related), working near moving mechanical parts or equipment. Noise level in the work environment is usually moderate.  Regularly lifting and/or moving up to 30 pounds.  Physical requirements further include the ability to engage in productive and collaborative communication and may need to be performed during non-standard hours, including nights, weekends and possibly holidays. While performing the duties of this job, the employee will be required to move about the facility. The employee is required to sit; use hands to finger; handle; or feel/hold objects; reach with hands and arms; climb or balance; speak, hear, and smell. The employee is regularly required to stand, walk, talk, and hear as well as interact with other employees. Specific vision abilities required by this job include close vision, color vision, depth perception, and the ability to adjust focus. Generally, the incumbent must be able to sit/stand and use a computer for extended periods of time.
